Introduction

This page is for Owners who wish to add their holiday rentals in Spain to this website.

Click the bulleted section name to jump straight to it.

Registration and packages

Registration

All Owners are required to register on the website before adding any properties.

To do this – follow the following steps (click on images to view larger if you need to).

Click on the “Register” link in the top right corner of the website

Fill out all fields and select “I want to rent my property”

You will see a success message and then a Login Box will pop up. Go ahead and enter the Username and password you just chose.

You will now find yourself back on the website – but your username will appear in the top right corner.

Click your username and then on “Profile”

Fill out as many or as few details as you like. Obviously the more you fill in – the more you will appeal to potential guests and the better your “Owner page” will look to the general public. This section is about YOU or your Agency – not your property.

Once done – click “Update Profile” at the bottom. A green bar will appear at the top to say it is done (you’ll need to scroll up to check it).

This is also where you can change your password if you wish.

Choosing your package and paying

All Owners are required to choose a package before you can add any properties.

To do this – first ensure that you have registered as above and then follow the following steps (click on images to view larger if you need to).

When you are logged in, and viewing any Pages of the Owner dashboard, you will see that you have a sidebar to the left.

Scroll down and click on “Choose or Upgrade Subscription”

Take a look at the packages available on that page and then use the drop-down arrow at the top to choose the one most applicable to you. If you would like to mark your payment as recurring (as ALL our owners on the old version of this site chose to) then tick the box.

The PayPal and Stripe buttons will then be clickable and you can proceed to the payment stage.

PayPal is self-explanatory. Stripe is how to pay by credit card – it accepts all the major ones and is very secure.

Once you have paid, your Dashboard will display how many Listing slots you have left to fill up. You can now move onto the next stage – adding a listing.

Adding a listing

Before you get stuck in to adding your property/ies – please ensure that you have the following ready to go…

  1. All the information about your property: No. of bedrooms/bathrooms
  2. A nice long detailed description (unless you’d like to just type it in by hand)
  3. Lots of great photos – the bigger the better. Teeny thumbnails will do you no favours.
  4. Your Spain Tourism registration number which is required by law.
  5. … and anything else you’d like to include too.

You can access the “Add New Listing” in two ways: Clicking your name in the top right corner or clicking the “Add new listing” in the left-hand sidebar.

Adding a listing: Description

The first tab you’ll land on is the “Description” tab.

Go through every section on that Page and select or insert the correct information for your listing.

We would highly recommend that you include your full pricing in the “” box, because the website only allows one price to be added.

Please note: Although we’ve added Provinces, we do not have all towns and neighbourhoods on there yet. This will come in time. However – if yours isn’t yet on there… select one close by for now – but drop us an email with your Listing name and the Town/Area you would like to have added… and we’ll add it for you, plus update your property on your behalf.

Once done, click “Save” and you’ll get a a popup at the top of the page to congratulate you, and to let you know that we’ll set your listing live once you’ve finished. This will usually be within one working day of you adding the details. If you want to wait a little while before setting it live – please let us know by emailing the listing name and your message to mail@spainbuddy.com

If you have not filled out all mandatory fields, the website will tell you :o)

Now onto “Prices”

Adding a listing: Pricing

The second tab you’ll land on is the “Price” tab.

Go through every section on that Page and select or insert the correct information for your listing.

We would highly recommend that you insert your lowest nightly price into the “Price per night” box and then “From” into the “Before label” box next to it. You can ignore the “After label” box. We may be getting those two boxes removed at some point in the future.

If you have not filled out all mandatory fields, the website will tell you :o)

Now onto “Images”

Adding a listing: Images

The third tab you’ll land on is the “Images” tab.

Hopefully you have some amazing large images ready to upload. These are what will really sell your property. Ensure your images show your property in its best light. This How to photograph your holiday rental property article will give you some really good tips! It was written by Spain Buddy’s co-owner, Alan Gandy, who not only IS a photographer, but teaches it too.

To upload your images, click the big “Select media” button in the centre of the page and browse your computer like you would on other websites. You can add them one at a time, or in batches. You can add up to 25 images, which should be plenty for most people.

The images may take a little while to upload, depending on your internet connection and the file sizes.

Once done – you can drag and drop into them into any order you like. Remember too, to double-click the one that you wish to use as your “Featured Image!” This is the images that will show up for your listing in search results and other places around the website.

If you have a YouTube or Vimeo link to a super video of your property – send it to us by email, quoting your property name, and we’ll drop it in for you too! It is limited to just one video per listing.

Now onto “Details”

Adding a listing: Details

The fourth tab you’ll land on is the “Details” tab.

  1. Enter the number of bedrooms. Once you do – a drop down area will appear, where you can detail the qty and types of beds in each of the bedrooms. Whilst the number of beds as a total is mandatory, the finer details are not. We’d recommend you do fill it out though – as it’s great info for your potential guests!
  2. Enter the number of bathrooms
  3. Enter your Spanish tourism licence number. This is a legal requirement. However, sometimes the “Powers That Be” can take a while to give you a number. Feel free to pop “TBC” in that box for now.
  4. Ignore the “Custom fields” – this is a new feature that will be coming later on. However – for those of you a little more web savvy – we’d love to hear from you as beta testers.
  5. Cancellation Policy: This is not mandatory but recommended.
  6. Choose the relevant options for smokers, wheelchairs, pets and children.
  7. Other rules: This is for any other rules you may have – such as pet rules, or whatever you can think of. It is not a mandatory field.

Now onto “Location”

Adding a listing: Location

The fifth tab you’ll land on is the “Location” tab.

We fully expect that some of you may have trouble with this tab. We’ve included instructions here – but if you get really stuck – we’re here to help.

Use your mouse wheel to scroll up and down to zoom in and out on the map. Click about until you eventually get to where your rental is. If it’s too much for you – just email us (include your listing name) with as much detail about your location and we’ll do it for you. Lat/long details are fabulous – but we can help if you don’t know how to get those. We may ask you to provide more details of the location if it’s unclear from the data you’ve entered.

The map locations shown on the front end of the website can be as accurate, or as vague, as you like. We have included a disclaimer in the footer of the website so people know that they are approximations only.

Now onto “Amenities”

Adding a listing: Amenities

The sixth tab you’ll land on is the “Amenities” tab.

Have at it! Just tick everything on this page that your holiday rental has to offer.

We’ve tried to include all the usual (and some unusual) things that holidaymakers want from their rental accommodation.

If you have not filled out all mandatory fields, the website will tell you :o)

Now onto “Calendar”

Adding a listing: Calendar

The final tab you’ll land on is the “Calendar” tab.

You are under no obligation to use this section. However – it will avoid people contacting you for dates you’ve already booked, if you do.

You have two options here:

  • Input your dates manually
  • Add an iCal feed from another site, such as AirBnb)

How to input your dates manually.

This is for those of you that want to add your dates into the calendar on THIS website.

  1. Click on the check-in date of the booking you wish to have on this site, or the first date of a group of dates you wish to block out. It will show in red
  2. Now click on the check-out date of the booking you wish to have on this site, or the last date of a group of dates you wish to block out.
  3. You’ll get a popup window with the dates already filled out
  4. You can add “Notes” if you like – such as the booker’s name, or whatever. That information does not display on the front end of the website – only the dates do (and show as unavailable)
  5. Click “Book Period”
  6. That booking will now show as blocked out dates on the calendar for your property.

To reach this section again once your listing is live

  1. Log in as normal
  2. Click “My listings” in the top right corner dropdown
  3. Click the pencil icon on the relevant property to open it in edit. Go to the Calendar tab and add a new booking as per the above.

To delete a booking

  1. Log in as normal
  2. Click “Bookings” in the top right corner dropdown
  3. Locate the booking and click the “Cancel booking” button

Please note: You can’t edit a booking. To do that – delete it and add it again manually.

How to add an iCal feed

Some of you may already manage properties on other website such as HomeAway or AirBnB. If you manage your calendars on those sites – this section is for you.

Most larger holiday rental websites offer an iCal export option – which enables sites such as this to mirror those calendars.

If this sounds like you – choose your other site from below to view their instructions then pop back here.

AirBnb

  1. On airbnb.com go to Host and select Calendar
  2. Click Availability settings in your calendar view
  3. Under Sync calendars, select Export Calendar
  4. Come back to your Owner Dashboard on this site and go to the “Calendar” tab.
  5. Paste the Airbnb calendar link into the “Feed url” field. Give it a name (such as “AirBnb”) too
  6. Click “Save”

HomeAway /Vrbo

  1. Log in to your HomeAway/Vrbo account through “Owner Login” and choose your property.
  2. Click on “Calendars” and “Reservations”
  3. Click on the Import/Export arrows icon on the top right-hand side and select “Export Calendar”. Copy the URL it gives you
  4. Come back to your Owner Dashboard on this site and go to the “Calendar” tab
  5. Paste the HomeAway/Vrbo calendar link into the “Feed url” field. Give it a name (such as “HomeAway”) too
  6. Click “Save”

Other sites

We can’t possibly include instructions for all other websites. However – if you get stuck and THEIR help files don’t make sense… contact us and we’ll see if we can help.

That’s it!

Your listing will be live within one working day (usually) but if you can’t see it after that time – please email us on info@spainbuddy.com with the name of your listing, and we’ll take a look.

Handling enquiries: Email notifications

Website users have the capability to send owners a message via the listing page.

If the website user has chosen to register and then send you a message, you’ll receive a notification and be able to reply via the Owner Dashboard. You can then choose to chat to them via that method, or you can provide your email address so the conversation can continue that way.

If the website user has chosen NOT to register on the site, they can still message you via the website and you’ll still receive a notification. However – that notification will tell you that they are not registered and to reply to them using their email address. their email address will be included in the message you receive.
